Inviting Viewers

After creating your event, the next step is to get viewers to the event page. While marketing your event is a separate subject, there are a couple of built-in methods to actually inviting people to your events that we will cover here.

Invite by Audience Message

Leveraging audiences is the best way to get the most people to your event. In the Registration step of this article, you may have selected one or more audiences to associate your event with. Doing this doesn’t actually invite any users. You will need to message your audience directly to inform them they are invited to the event.

You must first locate the audience you want to message:

  1. Click the main menu button web-menu.svg in the upper left of the screen, then click People.
  2. On the next screen, you will see two tabs at the top, select Audiences.
  3. Locate the audience you would like to notify about the event.

Review the Audience

It’s best to make sure the audience you’re messaging indeed has members, and that those members are the ones you want to message. You can review the members of an audience by clicking the ellipses button (three dots) in the upper right of the audience card and select Members.

This will open a window that shows all the members of an audience. From here you can browse or search the list of users. If you see any errant members or incomplete email addresses, you can delete them by clicking the 'X' button to the far right of the row. Unfortunately, you cannot edit any member records in this view. You would have to manually add additional users to the audience.

To exit this view, click the 'X' in the upper right of the screen to get back to the audience list.

Messaging the Audience

Click the ellipses button (three dots) in the upper right of the audience card and select Send a Message.

This will open a window where you can message everyone in the audience.

The audience messaging feature is multi-purpose. It’s not explicitly for inviting audiences because there are scenarios where messaging your audience beyond inviting them comes in handy. For example, reminding them that the event is about to start.

This method is much like using an email marketing program to send promotions to groups of people.

Authoring the Message

When crafting your message make sure to the subject is clear and concise. Also, refrain from using any words that might land your email in the recipient’s junk mail.

In the body, describe what the event is for and why they’re invited. If possible, reassure the user how they ended up in the audience (eg. “You are receiving this message because you signed up to be notified about upcoming events from Your Company Name). This will help mitigate recipients from feeling like they are involuntarily being sent promotions.

Lastly, it’s best to include a call-to-action in the footer of the message. Calls to action can either be an event or a library. Click the Add Call-to-Action button to show a list of all potential events and libraries you can include in your message. You may select as many as you like. Click Add to Email to append them to the bottom of the message. These will appear as direct links to the events or libraries you chose to include, along with their respective thumbnail images.

Sending the Message

Before you send the invite, it’s best to send yourself a test to verify that the email appears as expected in an email client. Click the “Send Test” button to do this. The test email will be sent to the email address used for your Brandlive account, which you are currently signed in to.

Next, on the right, you can verify one last time the list of recipients who will be receiving this message. When you’re ready to send the message to everyone in the audience, click Send to XX People.

Direct Invite

In addition to messaging your audiences, you can also invite people directly to the event.

After you publish your event you will immediately be directed to the Event Overview page. If you create your event and save without publishing, you will remain on the Create Event page and will need to navigate to the Event Overview.

To get to the Event Overview, click the main menu button web-menu.svg in the upper left of the screen, then click on Events. This page will list all saved and published events in your channel.

You can either browse or search for the event you just created. When you find it, click on the name of the event (in blue). This will take you to the Event Overview.

Click the Invite button in the bar just below the event title, then follow the instructions below to invite viewers.

  1. Enter the recipient’s email address into the first field, then click the blue “+” button to add the email to the list.
  2. Repeat step 1 for each recipient you want to add to the invite. You can include as many recipients as you like.
  3. Next, include a quick message to recipients about the event and why they’re invited.
  4. Review your recipients' list.
  5. When you’re ready, click Send Invite.
